Business Problem

Organizations struggled with the complexity of managing large events, including manual registration processes, disparate tools for vendor and speaker coordination, budget overruns, and a lack of real-time data for decision-making. This led to operational inefficiencies, attendee dissatisfaction, and challenges in measuring event ROI.

Solution

Developed a robust event management platform using Laravel, Livewire for dynamic administration interfaces, and Spatie Media Library for managing event assets. Implemented modules for attendee registration, secure payment processing, agenda building, speaker/sponsor portals, and comprehensive analytics. Utilized Laravel Horizon for background processing of email campaigns and report generation.

Architecture

Modular architecture with Event Creation & Management, Attendee Registration, Speaker & Sponsor Portal, Venue Management, Budgeting, and Analytics & Reporting. Uses Laravel Echo with WebSockets for real-time updates during live events. Queued jobs handle bulk email invitations and post-event surveys. Integrates with payment gateways (Stripe, PayPal) for secure transactions.

Challenges

Managing high-volume attendee registrations and concurrent access, dynamically updating event schedules and speaker information, securely processing various payment types globally, integrating with diverse virtual event platforms and physical access control systems, and providing flexible reporting for various event stakeholders.

Performance Optimizations

Implemented Redis for caching event schedules and session details to improve attendee portal performance, optimized database queries for attendee search and registration history, utilized Laravel Horizon for scalable processing of bulk email campaigns and badge printing, and employed image optimization for uploaded event graphics via Spatie Media Library.
